Talk to someone who knows the equipment
Specification, consumables, ex-demo stock, servicing questions and existing orders all reach the same team in Haslingden. Tell us what your site has to serve and we will give you a straight answer rather than a brochure.
How to get a recommendation worth having
Two venues with identical weekly sales can need completely different machines, so the more you tell us at the outset, the fewer rounds it takes to reach the right answer. Four things do most of the work.
- Cups per day, and what the peak looks like. A hundred drinks spread across a day is an easy job. The same hundred inside a ninety-minute breakfast rush is a different machine entirely. If you are unsure, our guide to sizing a machine by cups per day will get you close enough to have the conversation.
- The site. Cafe, office, hotel, forecourt, care home, gym, garden centre or visitor attraction. Also tell us who operates the machine, how often those people change, and whether it is staff-served or customer self-serve. That decides how much the machine has to do on its own.
- Milk. Fresh milk, topping powder, or both, and whether plant-based alternatives need to run through the same system. Milk is the biggest single divider between machines and the biggest driver of the daily cleaning routine.
- Plumbing, power and space. Is there a mains water feed and a drain within reach, or does it have to be a tank-fill machine? What else is already on that circuit? And how much counter depth is genuinely free once cups are stacked and a grinder sits alongside?
Two more details help if you have them. Your water matters, because hard-water areas change what we recommend for filtration and limescale protection, and it is worth saying whether you are set on new equipment or would consider ex-demo and refurbished stock. If you are still choosing between formats, bean to cup against a traditional espresso setup is the argument most enquiries begin with.
Would rather narrow it down yourself first? The main ranges are commercial bean to cup, including Jura and our own Ciao machines, traditional espresso, filter and batch brewers, vending and ex-demo and refurbished units, alongside beans and takeaway cups and lids. Everything sits in the full range.
Four ways to reach us, and what each is best for
All four go to the same team. Choosing the right one mostly saves you a day of messages.
Phone
Best for anything with a deadline: stock and availability, a machine that has stopped mid-service, an order already placed, or a quick yes or no on whether something will fit. The line is staffed during the opening hours below.
Call 01706 216822Best for detail. Photographs of the counter, measurements, a specification you want checked, several sites at once, or anything a colleague or a finance department needs to see in writing. Send it whenever suits you.
Email the teamCallback
Best if you are on shift and cannot sit on a phone. Email your number, the times that suit you and one line on what it concerns, and we will ring you back rather than trade messages across a week.
Ask us to call youVisiting us by appointment
Best when the decision is down to two units, or when the installation looks awkward. You are welcome to come and see machines at Haslingden by appointment, so tell us which models you want to look at and we will agree a time and confirm what is on site that day. For a tricky counter, photographs and measurements sent first often settle it without anyone driving anywhere.

Carrs Industrial Estate is in Haslingden, in the Rossendale valley in Lancashire. The unit is a working commercial address rather than a high street shop.
Visiting us by appointment
Customers are welcome to visit by appointment. Ring 01706 216822 or email sales@coffeemachinehq.com with the models you want to look at and we will agree a time, confirm what is physically on site that day, give you directions and tell you where to park. The appointment is the point rather than a formality: it is a working unit, stock comes in and goes out, and an arranged visit is what stops you driving to Lancashire to find the machine you came for has already gone out to a customer.
Bring, or send ahead, the measurements of the counter the machine has to live on, a photograph of the space including whatever sits either side of it, and a note of what you have for water, drainage and power. Half an hour in front of two machines with those details to hand settles most of the decisions that email cannot.
Making sure you have reached the right business
Coffee Machine HQ at coffeemachinehq.com sells and supplies commercial coffee machines, vending and slush equipment, and the consumables that go with them, and installs, services and repairs the equipment it supplies. We are an independent business and are not connected with any other company trading under a similar name or from a similar address. Our telephone number is 01706 216822, our email address is sales@coffeemachinehq.com, our address is Unit 8-12 Bentwood Road, Carrs Industrial Estate, Haslingden, Rossendale, BB4 5HH, and coffeemachinehq.com is our only website. If you have been given a different telephone number for a business with a similar name, it is not us.
What a North West base means if you are nowhere near Lancashire
It means the stock and the people are in one place, and equipment can be checked before it leaves rather than drop-shipped unseen. Machines and consumables go out to addresses across the United Kingdom, and where you are does not change the advice you get. Timescales vary by product, stock position and destination, and a pallet of machine moves very differently from a box of cups, so our delivery and installation page is the place to start on what to have ready before the vehicle arrives.
Some destinations, including certain Scottish postcodes, offshore islands and Northern Ireland, can carry different arrangements, so ask us to confirm before you order. The same applies to installation: what can be arranged depends on the machine and on the address, and it is a question to settle at quotation stage rather than after delivery day. Ask us before you order and we will tell you what is possible for your site. Being based in the North West is not a limit on where we supply. It is simply where you will find us if you want to stand in front of a machine.
What happens after you get in touch
Enquiries are worked through in the order they arrive during the hours above. If yours is time-critical, a machine down mid-service or a site opening on a fixed date, phone rather than email and say so at the start.
We read it and fill the gaps
Most enquiries arrive missing one or two of the four things above, so the first reply is often a short set of questions rather than a price. It is quicker than guessing, and it stops you being quoted for a machine that will struggle at your peak.
You get options, with the trade-offs
Usually two or three machines rather than one, with the reasoning attached: what each handles at your busiest hour, what it asks of whoever is operating it, what it needs at the wall, and what it will keep costing you in beans, cleaning products and water treatment.
Specification, then order and delivery
Once a machine is agreed we confirm what has to be in place on site, what is included and how it will reach you. From there it becomes an order, a delivery arrangement and, where the machine needs it, an installation to plan around.
Servicing, parts and existing customers
Installation is carried out in house by our own engineers, and so are servicing, maintenance and breakdown repair on the equipment we supply. Existing orders, consumable reorders, spares and machines that have stopped behaving therefore all come through the same number and the same inbox: there is no separate line to remember and nobody to be handed on to. You will reach the right person faster with these to hand:
- The make, model and the serial number from the rating plate.
- The address the machine is installed at, which is not always the address it was invoiced to.
- What it is actually doing. An error code, a noise, temperature, flow, a leak, and when it started.
- Your order or invoice number for anything to do with a delivery already placed.
A fair share of what gets reported as a fault turns out to be maintenance or water. A blocked group, a milk system that has not had its full clean, or scale where there is no filter. Before you call it a breakdown it is worth working through the daily, weekly and annual maintenance routine and checking whether the machine’s filtration and limescale protection is still current. Cleaning products, filters and descalers for the Ciao range are in Ciao Essentials, while grinders, tampers and bar equipment sit under coffee equipment.
Consumables are not tied to having bought the machine from us. Beans, takeaway cups, glassware and cleaning products are available whoever supplied your equipment, and if you are unsure whether a particular product suits your model, send us the model name and we will check compatibility before you order. If you are choosing beans for a bean to cup machine, our guide on which beans suit a bean to cup machine covers the grind and roast questions that come up most.
Questions people ask before they call
The wider buying questions, including sizing, water treatment, training, leasing against buying and what has to be ready before installation, are answered on our commercial coffee machine FAQs.
Do I need to know what I want before I get in touch?
No. Most people do not, and it is the part of the job we most prefer. Come with the shape of the problem rather than a model number: what the site is, how many drinks at the peak, whether it is fresh milk, and what you have for water, power and counter space. We will come back with a shortlist and explain the trade-offs rather than simply naming one machine.
Can I come and see a machine at Haslingden?
Yes, by appointment. We are a working commercial unit on an industrial estate rather than a high street shop, and what is physically on site changes as stock comes in and goes out, so visits are arranged rather than dropped in on. Call 01706 216822 or email with the models you want to look at and we will agree a time, confirm what is here that day and have someone free to go through it with you.
Do you supply consumables for machines bought elsewhere?
In most cases, yes. Beans, takeaway cups and lids, cleaning products, glassware, milkshake mixes and slush syrups are not tied to buying your equipment from us. If you are unsure whether a particular cleaning product or filter suits your machine, send us the model name and we will check compatibility before you order.
Our machine has stopped working. Who do we speak to?
The same number and inbox as sales. Have the model and serial number, the site address and a description of the fault ready, including any error code on the display and when it first appeared. It is also worth checking the obvious first, since water supply, filters and an overdue clean account for a great many call-outs.
Do you deal with businesses outside the North West?
Yes. We despatch equipment and consumables to addresses across the United Kingdom and the advice does not change with distance. Certain Scottish postcodes, offshore islands and Northern Ireland may involve different arrangements, and anything requiring installation depends on the machine and the address, so raise it before you order. The delivery and installation page linked above sets out what to have ready.
Can you deal with a purchase order or an invoice rather than paying at checkout?
Ask us before you place the order. The methods available at checkout are shown at the payment step, and if you need to arrange something different we will tell you whether it can be done for your order. Our billing terms set out how pricing, VAT and payment are handled.
